Collection Notice:
The Victorian Deaf Education Institute (VDEI) is part of the Inclusive Education Professional Practice (IEPP) Branch in the Victorian Department of Education (DE). IEPL Canvas is the name of the Learning Management System (LMS) used by IEPP to host courses and modules for professional learning.
VDEI Arlo is a Client Records Management (CRM) which is an online tool to accept and manage online registrations, applications, payments and invoices. VDEI Arlo is linked to IEPL Canvas to allow for a seamless connection between the registration and online learning enrolment process.
This collection notice refers to IEPL Canvas and Arlo. DE and VDEI collect the information requested on this form, which includes personal information, for the purpose of registration and delivery of your course and evaluation of the course.

This information is required to ensure VDEI can effectively support your educational pathways. If you do not provide this information we will be unable to register you to participate in VDEI's professional learning (mode of delivery either being face to face or hosted on IEPL Canvas).
Information Use
VDEI will use the Information only for the purpose for which it is collected. This information will be used for you to register and access the professional development services you will be engaging in. This information will enable the generation of a certificate upon completion of the professional learning components (where applicable) and where required an email with a link to a survey for feedback about the event .The information you provide in a survey will be de-identified and used to improve services, course content as described in Information Disclosure.
Contact may be made to invite participation in interviews with VDEI to obtain more detailed feedback about services provided. Interviews may be recorded with the permission of the participants.
VDEI may also use your personal information to contact you by email to promote up and coming events. You can inform us that you do not wish to receive these emails withdrawn through an unsubscribe function in any promotional emails sent to you from IEPP.
Image/Video Consent
By attending VDEI's professional learning events, you consent to having photographic images, video and audio recording captured for use by VDEI. Photographs, video and audio captured at these events may be used by VDEI for promotional purposes including on the VDEI website, social media accounts, promotional videos, public advertisements, newsletters and other public facing communications. If you wish to withdraw your consent, please email VDEI ahead of the event.
Information Disclosure
VDEI has contracted two secure service providers (Arlo and Instructure Ltd) to;
- administer applications and registration for VDEI professional learning
- administer applications and registrations for IEPP managed courses and programs
- host online professional learning designed, developed and delivered by VDEI
- host online professional learning designed, developed and delivered by IEPP
VDEI will provide this information to the service providers for the purpose of assisting in the delivery and promotion of this professional learning.
The sector information collected at the time of enrolment may be used to profile participants' roles and the organisations from which they come to determine the breadth of school involvement in the professional learning. Information from surveys may also be used to evaluate the effectiveness of IEPP courses and programs. This information will de-identified and only be accessed by IEPP Unit staff involved in quality review and evaluation at DE.
Data security and privacy compliance of this service and service provider has been assessed in line with DE privacy assessment standards.
Access and Correction
An individual may request access to personal information held about them by VDEI and request its correction if inaccurate. For this or any other enquiry please contact the VDEI at vdei@education.vic.gov.au

Refund
To participate in VDEI's professional learning payment of a course fee may be required. Although heavily subsided by VDEI, course fees partially cover facilitator/presenter fees, online learning subscriptions, learning resources and catering (where relevant).
If you do however need to withdraw from a course the following refund policy applies. All course withdrawals must be given in writing.
For a refund of the course fees:
- more than 14 days prior to course commencement a 50% partial refund.
- 10 to 14 days prior to course commencement a credit note will be issued.
As VDEI on-demand presentations provide immediate access to VDEI's digital learning, no refunds will be issued.
